If you're switching to a new PMS or moving from a direct Airbnb, Vrbo, Houfy, or Booking.com connection to a PMS, here’s how to transition your listings in PriceLabs seamlessly without losing settings or disrupting your pricing updates.
Before You Start
Before proceeding with the integration, keep the following in mind:
If you're migrating from one PMS to another, ensure historical reservation data from your old PMS has been imported into your new PMS. This ensures your Portfolio Analytics remains accurate and complete.
Billing after transitioning : Since we count for unique listings, synced during a billing period, your invoice will likely have double the listing count. When you get your invoice, please email us (support@pricelabs.co) & we'll amend it to only reflect the listings from one system.
If your PMS is not connected to Airbnb & you want to continue using PriceLabs to update rates/stay for your Airbnb listing. You will want to keep these listings connected. Do not turn off the sync in this case.
Step-by-Step Transition Guide:
Integrate your new PMS with PriceLabs
Go to our Integrations page and locate the specific instructions for your new PMS to import your listings into PriceLabs.
After import, your dashboard will display listings from both the old and new systems.
When mapping, you can choose to copy all the customizations listed below from the parent listings to the child listing. Ensure to check ALL four checkboxes.
Minimum, Base, and Maximum Prices
Listing-level customizations and Date-specific overrides
Group/Sub-group assignments
Merge parent's Notes and Reminders with child's
The old PMS listing becomes the “parent listing”, and the new PMS listing becomes the “child listing.”
After mapping, check your new listings in the Multi-Calendar page to confirm that prices look consistent. Important Note:
Account-level customizations won’t transfer automatically. Please set them up manually.
If you're migrating from one PMS to another, be sure to export your historical reservation data from the old PMS and import it into the new one. This ensures your Portfolio Analytics remains accurate and complete.
Turn On Sync for New Listings
Click “Sync Now” at the listing or account level for your New Listings.
After a few minutes, verify that prices appear correctly in your new PMS calendar.
Turn Off Sync for Old Listings
Once your new listings are confirmed to be syncing correctly, turn off sync for the old listings.
This will prompt you to choose how to handle child listings. Choose one of the following:
"Un-map All Child Listings" if you no longer want the new listing mapped or if there are no other listings to keep mapped,
"Disable Child Listing Sync" if you want to turn off sync for the new listing too and keep it mapped as a child,
Not recommended if you want to remove the old listing, select option i or iii instead.
"Promote Another Child Listing to Parent" then select your New Listing and click Select if you have other listings still mapped with the new listing.
If you selected "Promote Another Child Listing to Parent" select the appropriate option and then click Select.
Remove Old Listings (Optional)
Ensure historical reservation data from your old PMS has been imported into your new PMS before removal.
If not, keep old listings in PriceLabs for continued access to historical data in Portfolio Analytics.
When ready:
Switch off the ‘Sync Prices’ toggle for old listings.
Unmap the listings following the steps mentioned here
